How to Stop Wasting Time

I’ve come to the conclusion that wasting time is the biggest obstacle for entrepreneurs in getting things done.

You don’t get results from things you don’t implement – and these four time wasters are the biggest culprits.

We all react to them and they fill the time we could be doing other things that are more productive and valuable.

Now I’m not bashing the usefulness of the four time-wasters below. But, consider it from the point of view that these are interruptions that not only take away our time from being productive and implementing, but also distract us where it adds even more time to get back on task and focused.

Here goes:

Email

You guessed it. We all fall for the trap. First thing in the morning you login and check email. Then, next thing you know one email pops up after the other and you’re in there for hours. Plus, if you’re using a browser-based email program like gMail, it’s always open. And here come all the different emails with different ideas, messages, videos, etc. Most of them lead us to the Internet where we go further and further into wasting time. It gets you into reacting to all the other email related items.

Kick the habit strategy: Check at planned times each day and only spend allocated time like 30 minutes at 9am 1pm and 5pm. Use an online tool for managing email like http://emailga.me/.

Telephone

It starts ringing and it can never stop. But, most often it’s checking messages and returning phone calls. It’s the same idea as email (reacting, not being proactive) and usually not accomplishing much. If you have pre-arranged phone appointments but other than that – why would you ever answer an unplanned telephone call? Maybe it’s a referral – but schedule it so you’re not interrupted.

Kick the habit strategy: Don’t answer the phone unless it’s scheduled and have someone else check voice messages and send you the summary. Ask them to schedule a time-block on your calendar where you make return phone calls each day.

People

This especially applies if you work in an office environment. People “just popping in” with questions, conversation or ongoing chitchat that can drag on for quite some time that constantly interrupts you. Often times we get caught up in about talking about things that are not really valuable conversation. It doesn’t mean be a hermit – but it is a major distraction.

Kick the habit strategy: If you’re working with other co-workers, implement “quiet-time” hours each day in the office where say from 10am-12pm and 1pm-4pm is just for quiet productive time. The time outside that block is for meetings, discussions, talking, etc.

Thoughts

Your mind runs all over the place as entrepreneurs. Let’s face it – we’re all guilty of loving the “bright shiny object” and it always distracts us. We’re always thinking of something “else” and that leads into some other different thoughts and ideas that carry you on and on. Focus time is essential.

Kick the habit strategy: Create an environment where you can minimize the “thought distractions.” Perhaps it’s removing all the clutter and stuff in your office or work in a space that has very little distractions where you can sit and really focus without your mind wandering from one idea to the other.

So, it’s time to focus!

Put some of these simple “anti time-wasting” strategies in place and get back to working on the stuff that really matters.

Listen, more of the same is just more of the same – so if you want to change, you’ve got to make a change. It sounds trivial – but it works – and will allow you to focus more and accomplish what you’re truly meant here to do!

Twitter Secrets Revealed

Twitter just announced a brand-new feature that I wanted to make sure you knew about. It allows people to have 1-click access to follow you on Twitter directly from your website – which is a huge benefit for building your following with your network and establishing a great social media presence using Twitter.

Speaking of Twitter, I want to share some of the behind-the-scenes strategies and techniques that I personally use with Twitter to build a huge network of loyal, engaging and responsive followers that allows me to consistently build my list and get new clients.

I’m going to make some assumptions that you are already aware of what Twitter is and how to do some of the basics like find friends, get followers, as well as send updates, replies, retweets, etc.

These are some of the more advanced “systems” I use for leveraging the most of what Twitter has to offer.

Friends (you follow) and Followers (follow you). I always suggest connecting with like-minded people and those you want to connect with as much as possible. It’s pace, not race. Most number of friends or followers does not matter. Often those you follow (as a friend) will follow you back. Having said that, people ask me about auto-following back those who follow you. My thought is you don’t have to. Auto-follow is not an obligation, it’s a choice. There are many followers I have which I don’t follow in return and vice-versa. If you’re wiling to take the time and effort to manually follow back those who follow you, I’d suggest it (I personally do it.)

Direct Messages. I’m a huge fan of using DM’s to connect with my followers and friends. Sending a direct message is quick and easy and almost ALWAYS gets a response. Now, I’m very active and engaging on Twitter so people I interact with DM’s tend to be the same. But, it’s in some cases more effective and efficient than sending emails for things like making introductions and connecting.

Favorites. I use Twitter favorites all the time for marking as favorites other tweets I want to read later but just don’t have the time. It’s kind of like email folders for Twitter. See a tweet you like with a link but don’t have time to read it now? Mark it as a favorite and carve out time later to refer back to it. You can see my Twitter Favorites here.

Lists. I have lists to help categorize and organize my Twitter friends. With 55,000 plus friends it’s hard for me to obviously read EVERY tweet that comes out – it’s insane. So, I use Twitter Lists to group relevant friends in buckets and then review those lists together. I have some for friends, brands, skiing and even locked (hidden) lists for things like competitors, prospects, etc. You can see my Twitter Lists here.

Search. Twitter search (http://search.twitter.com) is a great tool for finding content and possible connections (friends and followers). You can search by hashtag (#) and see relevant tweets to that topic or just do a general search for “Internet Marketing” and see all the tweets and conversation about that topic. From there, jump on in and get tweeting.

Applications. I use the following: Hootsuite and Twitter for iPhone. Hootsuite allows me to view everything in a browser which means I can do it from anywhere (any computer and from my phone). It’s great for viewing all the tweets in columns and then reply, DM, schedule and post tweets. The Twitter for iPhone application is just flat-out the easiest and simplest application for a mobile device for Twitter.

Now the most frequently asked question: “Derek, where do you get all your content and ideas?” Here are my secret sources (never revealed these before). Google Reader (I subscribe to a ton of blogs and content sites relevant to my niche). StumbleUpon and Digg for finding interesting and relevant content that my followers will respond to. ME! Yes, I do create most of my own content and tweets based on what YOU provide to me as feedback and content you’re looking for. So, trust your followers and give them what they want – they will love you for it!

Slice and Dice Your List for Better Results

There is no disputing the power of email marketing. The ability to write an email, click the “Send” button and communicate to the “’masses” on your list is powerful. Is it almost TOO powerful? Well, if you’re not segmenting your list effectively – you’re marketing to the masses. Not enough marketers take advantage of email segmentation. Email segmentation is the ability to slice and dice your subscriber list into smaller sub-lists based on different categories, actions or other characteristics.

When you segment your list, you can use the data that you have about the different subscribers in your list to create smaller, more targeted sub-groups. Using the power of list segmentation – you can send more targeted, relevant emails to those smaller groups triggering a higher response and increase your results.

The simplest example is segmenting your list between prospects and customers. Think about it. Even though some information in your emails is appropriate for both audiences, there is definitely content that will serve one group more than the other. Your subscribers will enjoy the emails that you send them more, if the content is relevant and timely to their specific needs.

Now before you start thinking this is going to be technically hard or tricky – it’s actually pretty straightforward when you look at it from the perspective of HOW you want to segment your list. Don’t worry about the technical “setup” – just focus on the most relevant and meaningful sub-lists that you require. Most email marketing systems and their support staff can easily help to set it all up for you. Email marketing systems like Aweber, 1ShoppingCart and Infusionsoft support this (some more so than others.)

Is it worth it? Totally…

Some email marketing studies have shown that upwards of 40% of people have higher open rates when they segment their email lists. 28% showed lower unsubscribe rates and 24% have experienced bigger revenues. It seems to me that it’s worth some effort to see if you can segment your list to improve your results.

Start off by doing simple list segmentation (like I described above) with prospects vs. clients and then move onto further segmentation (i.e. different sub-lists for different types of clients.) You can also segment by some of the basic information like demographics and geographic information if you have that available in your database.

Also, be sure you take the time to actually STUDY the results of your list segmenting efforts. If you aren’t testing or tracking the effectiveness of your emails in terms of open rates and click-through rates – then it’s not worth the effort.

Chances are your overall email marketing effectiveness (and revenues) will improve and your subscribers will thank you for it.

Setup a Rock-Solid Sequence to Build Your List

Often times we overlook the basics when it comes to list building. We (and me included) get distracted by all the bright-shiny-objects out there that we overlook the tried-and-true methods of consistently and systematically building your list. Simple things like “setting up the steps” we take for granted – when those are the factors that often matter most in order to massively build your list with little effort.

In this article I share critical strategies about how a rock-solid sequence is required to consistently and systematically build your list. Why? You need a well-designed sequence to ensure everything works like a well-oiled machine. Without it, you’ll never have a superstar strategy in place that allows you to go out there and build your list in droves.

The first step in a sequence is selecting the system. By system I mean email marketing system. You need to have something. Sending emails via Gmail or Outlook to your list just doesn’t cut it. I’m talking about using anything like Aweber, ConstantContact, 1ShoppingCart, Infusion, etc. You need to pay the money and invest the time to set it up and get the email templates in place. Remember, you just need to set it up once and then its there working for you. Setup your system properly (get some technical help if you need to) with the right templates and auto-responders so they are pre-canned emails that work for you, automatically. You’re not going to be in there and randomly or manually sending emails to your list when you remember to follow up with them. Your job is to find the traffic – your system has the job to convert them on your list. It has to be a “system.”

The second step in a sequence is selecting the stuff. By stuff I mean what are you actually sending them when they opt-in and beyond? If they’ve chosen your IFO and you’ve delivered that – what else are you sending them? Is it just email copy (words) or something more? Can you send them audio or video or perhaps another great piece of content that you know will help them? How are you doing it? Plain text or HTML email? Strategically think and then map out what your readers are looking for most and then deliver it to them. But – not all at once. That’s what our last step in the sequence is for.

The last step in a sequence is the actual steps in the campaign. This is one most people overlook and it’s usually the most important. The steps are a must-have when it comes to list building. You need to map out first on paper what you want to happen when someone opts-in to your list. You need to determine what emails to send and when. Think about it from the perspective of the opt-in. What number of emails makes the most sense and when? Actually map them out and write them out before you build it into the system. For example, I have a six-email auto-responder campaign when someone joins my list. It’s spread out over a 15-day period. Yes, that’s 6 emails in a little over two weeks. Why? I want them to take an action in each email and I use high-content and high-value information to trigger that action. My emails are designed to generate a response each and every time. That way my subscribers are engaged and motivated to take action.

So, it pays to develop a sequence. Set it up once and then focus on the BIG stuff – getting traffic to your site and converting your prospects to leads and leads into clients.

Mobile Internet Marketing Secrets Revealed

This is the second part of my two-part article I’m sharing about how to start the new year off with a bang – for your authentic Internet marketing. With all the bells and whistles out there, it sometimes is confusing and overwhelming to choose which tools, systems and applications to use to help market your business online.

Google Voice

I setup a free account on Google Voice over two years ago and have been using it ever since. Think of the power and ease of use of Gmail along with your mobile phone. Got a wireless signal? Use Google Voice to make ridiculously low priced international calls. And, I love the transcribe feature via email. I setup my home phone to forward to my Google Voice so all the messages are transcribed and sent to me via email as opposed to having to take the time to dial in, press commands, listen, etc.
 
GoDaddy

Really? GoDaddy as a favorite mobile app? With the hundreds (yes, hundreds) of URL’s we own across Client Attraction and Derek Fredrickson, I use this nifty mobile app all the time to search, buy, bid and manage all of our websites and URL’s. Got an idea for a new URL and don’t want to risk the chance of missing buying it? Why wait? GoDaddy allows me to buy and bid on the URL’s right from my mobile phone.
 
LogMeIn

Got a file on your computer at home and can’t send it to the person you’re standing next to? I use the mobile app from LogMeIn to access my remote computer and easily execute commands and perform tasks as if I was right there. It’s very efficient and helpful in cases when I’m doing tasks or activities from my main computer when I’m traveling and can still access them remotely. Hint: I also use Dropbox to help manage online file access so I can access any file from any computer without having to share or email files back and forth
 
iPhone

Ok, this is where I might hurt some people’s feelings. I’m a big Mac guy – with everything. I have the pods to the phones to the TV’s and of course the computers – all Apple. So, I could not list my best online mobile apps for 2011 and not give credit to the platform that makes it all possible which is the iPhone. It’s just all around fantastic for so much of running my business and allowing me to stay connected with my network.
 
Ping.fm

Ping is my favorite online mobile app. I use it in two ways. One, I setup my mobile phone number with Ping.fm so I can use the service from my phone like sending text messages. Short, sweet and simple. I don’t need to login to a site or anything like that. Just open my text messenger app on my iPhone and start typing away. Second, I have my Facebook and Twitter account linked to Ping.fm so I only use this service when I want an update sent to both Facebook AND Twitter. Else, I will just use the Twitter iPhone app (see below).
 
Twitter iPhone

I tried all the others out there (Tweetie, Twitteralator, EchoFon, HootSuite, etc.) and this is by far my favorite. If they ONLY supported timed tweets (setup a tweet for delayed posting) it would be the end-all-be-all. It’s very user friendly and intuitive and supports all Twitter functions you need in a simple interface. I use it all the time to repost my favorite tweets (blog posts) to get more people on my list. It’s very effective.
 
Facebook iPhone

How can you run an online business and not be using the Facebook iPhone app is beyond me. It’s by far the best out there – and really the only game in town. Not only do I use it to stay connected to my Facebook friends, but also I use it for posting photos and status updates on my Facebook fanpage. Hint: Did you know you could post a photo with a comment directly to your fanpage from the Facebook iPhone app? It’s really cool. Just click the small camera icon from the status update section on your fanpage and then click the “Upload a caption” before you upload the photo – presto!
 
Pixelpipe
My secret weapon, revealed! I use this photo-sharing app for sharing my photos on both Twitter and Facebook. And, I’ve set it up so when it posts to Facebook – it posts as an actual photo – not just a link to a photo from my status update. It goes right into my Mobile Photos folder. You have to setup your services first on their website (I setup Twitpic to feed Twitter and Facebook separately) so when I upload a photo from my iPhone to the Pixelpipe service – it streams it out to both (as a picture) simultaneously.

Internet Marketing Secrets Revealed

This is the first part of a two-part article I’m sharing about how to start the new year off with a bang – for your authentic Internet marketing. With all the bells and whistles out there, it sometimes can be confusing and overwhelming to choose which tools, systems and applications to use to help market your business online.

In this article, I will share some of my best tools and applications for helping you market your business online. In the next section to be revealed next week, I will share some of my personal best practices and best tricks for productivity, marketing and running a successful online business.


Evernote

Evernote is an online and desktop based organizing tool for all your notes, ideas, to-do lists, etc. Consider it a place for a brain dump of all the ideas and ‘stuff’ in your head so you can clearly and effectively organize your thoughts. I use it for ideas for blog posts, notes, to do lists, etc. It automatically syncs to an online website so I can login from virtually anywhere (including my cell phone) and edit, add, update my notes and to do lists. I can organize them using folders and categories so it’s all-together. I’m a big fan of using this over notepads or post notes because I never risk losing all my notes or ideas and I can access it from anywhere.


Tweetdeck

This is the ideal Twitter application for your desktop. Tweetdeck is a column-based view of tweets, replies, messages, and lists. You can create custom notifications of visual or sound alerts can notify you when certain tweets or messages are posted. It supports full integration with Facebook for both your personal profile as well as your fanpage. You can setup timed tweets to be broadcast at certain dates and times in case you’re not available to tweet at that time. And lastly, it syncs with your Twitter account for your Twitter lists and saved searches so you can keep a close tab on all the activity for everything you want to stay connected to on Twitter.


Google Reader

This is my hidden gem for productivity, marketing and content. I’m a HUGE fan of blogs and subscribing to some of the best marketing blogs out there. I don’t read newspapers or magazines or watch the news because I read it all online using their RSS feeds in Google Reader. In Reader, you can organize your blogs using folders to categorize the subscriptions. I use Google Reader as a way to consolidate and view all of that content together – and use it for not only my own content and ideas – but also to instantaneously share it with my followers on both Twitter and Facebook. The trick here is to use an application with Google Reader called “Google2Tweet.” You can find it at http://reader2twitter.appspot.com. You can link in your Twitter account so while you’re reading your blog articles on Google Reader you can easily click the “Share” button and immediately share this article on your Twitter account. See below as an example:


Google Alerts

I use this tool from Google to monitor and track certain keyword phrases that pertain to my niche. I have alerts for not only my name “Derek Fredrickson” but also for “authentic internet marketing” and other derivations of that phrase. I then add the RSS feeds for these searches in my Google Reader account so I can view the alerts along with everything else I need to monitor.


Twitter Search

This is like Google Alerts but for Twitter. There is always a conversation happening on Twitter for your market and you want to be a part of it. Twitter Search allows you to save custom searches and then create RSS feeds for those and feed it into your Google Reader account to view and monitor along with Google Alerts and your blogs. Thus, Google Reader becomes like the hub for all your content and information online for the market you are a part of.


Gmail

Gmail is hands down the best email client out there – bar none. If you’re not using Gmail for your email – I’d recommend consider switching as soon as possible. The benefits are simple but obviously a big help. Online access anywhere; tons of storage; very intuitive and user friendly; simple search and filter options to help organize all the emails you receive, etc. Of course it’s free and you can easily setup your own custom email (i.e. firstname@mybusiness.com) right through Gmail in minutes. You can also purchase for $20 an application called Mailplane which is great as a desktop client of Gmail and seems to be a bit quicker and easier to navigate than having to use the Gmail website in a web browser.


Google Calendar

This calendar application is the best. Easy to use and setup – and allows you to efficiently and effectively share your calendar with members of your team and grant permission based access depending on what they need (read access, read/write access, etc.) Color coding helps manage tons of different calendars and all the essential elements are there in terms of recurring appointments, inviting members to appointments, various reminders as well as a simple daily agenda email that is really helpful.
